Kindword handles very little information. We would rather explain it plainly than bury it. Here is exactly what happens.

Who we are

Kindword is a small product operated from Wicklow, Ireland. It is currently a V1 test service.

For anything about your data, email hello@kindword.com and a human will reply.

What we collect

From senders: your name and email, the recipient's first name and email address. We also ask how you know them, store your message and keep a record of whether you sent it anonymously, plus timestamps, delivery status and the private link token.

From recipients: we hold only the first name and email address the sender gave us so we can deliver the link. That information came from the person who sent you the Kindword. We use it for delivery only.

Why we use it

For senders, we need this information to provide the service you asked for and to keep the one Kindword a day rule working.

For recipients, we rely on our legitimate interest in passing on a private message from someone who knows you. We do not market to you. You can object or ask us to delete your details at any time.

How delivery works during V1

Email delivery is automatic. Kindword sends the recipient a short notice with their private link through our email provider, Resend.

The Kindword itself is never included in the email notice. It is stored so it can be shown on the recipient's private page.

We are not claiming it is technically impossible for us to access stored data: like any operator, we can if we have to, for example to investigate a report of abuse or to meet a legal obligation.

There is no automated decision making and no profiling.

Anonymous means anonymous to the recipient

If you choose Anonymous, your name is not shown to the person receiving it. We still know who sent it, because we need to.

How delivery works

The email we send the recipient contains only a short notice and a private link. The Kindword itself is never sent by email. It lives on its own private page, not listed or indexed anywhere.

The optional survey after sending

Right after you send a Kindword we offer a short optional survey about how it felt. You never have to answer it, and skipping it changes nothing.

If you do answer, your answers are stored alongside the Kindword you just sent, so they are linked to the sender details you already gave us. We say that on the survey card too. We use them to understand how people experience sending a Kindword and to improve the service.

Choosing Anonymous only hides your name from the recipient. It does not change the fact that we know who sent it, survey or no survey.

The two free text boxes are optional. Please keep them to your own experience rather than anything sensitive about someone else.

Survey answers are deleted with the Kindword they belong to, at 12 months at the latest. Email hello@kindword.com and we will delete yours sooner.

How long we keep things

Delivery contact details and your sender email: up to 30 days from submission, then cleared automatically.

The Kindword itself, the recipient's first name, the sender display name where shown, the anonymous choice and the private link: up to 12 months from submission so the private page stays available, then the whole record is deleted.

Who helps us run it

Hosting and database: Lovable Cloud, built on Supabase. Email: Resend, which handles the automatic notice to recipients.

These providers process data on their own infrastructure under their own terms and safeguards. We share only what is needed to run the service. We do not sell data.

Cookies and analytics

We measure whether Kindword works. We don't measure your Kindword.

We use limited privacy-friendly analytics to understand whether the public site works. We count visits to the public pages, a broad device type (mobile, tablet, desktop), the general traffic source where a referring website or campaign tag is present, plus anonymous starts and completions of the Send flow.

If you arrive from a link we shared somewhere, such as a post in an online community, we keep that campaign tag with the Kindword you send so we can tell which communities Kindword is reaching. A campaign tag says where a link was posted. It says nothing about you, and it is never an identifier.

We do not use analytics cookies, advertising pixels, fingerprinting, persistent analytics identifiers, session recordings or profiling. Nothing is stored on your device for analytics.

We never put message content, names, contact details, relationship answers, survey answers or any other form answers into analytics.

We do not track the private recipient pages at all. That means no page views, no timing, no referrer data, no record of whether or when a Kindword was opened or read and no count of revisits.

We do not sell analytics data. If any of this changes, this notice changes first.

Your rights and complaints

You can ask for access, correction, deletion, restriction, portability where it applies and object to our use of your data. Email hello@kindword.com and we will handle it.
